1. Who we are

ReefCam Rental is an action-camera rental business based in Kralendijk, Bonaire, Caribbean Netherlands. We provide action-camera rentals, underwater housings, accessories, delivery and pickup services.

For the personal information covered by this policy, ReefCam Rental is the organisation that decides why and how your information is used.

2. Information we collect

We may collect the following categories of information:

Footage-transfer information	If you buy a Transfer link, we process the footage stored on the rental SD card only to upload it and send you a private download link
Website and technical information	IP address, device or browser information, pages viewed, referral source, cookie preferences and website-usage information where enabled and permitted by your cookie choices
Messages and support requests	Emails, WhatsApp messages, contact-form messages, questions, feedback and other communications you send us

3. How we collect information

We collect information when you:

• Make or start a booking through our Booqable booking system
• Contact us by WhatsApp, email, website form, telephone or social-media message
• Pay for a rental, add-on or security deposit
• Receive or return rental equipment
• Choose our optional footage-transfer service
• Accept or manage optional analytics or marketing cookies through our cookie banner

4. Why we use your information

We use your information only where there is a valid reason to do so. This may include your consent, the need to perform our rental agreement with you, a legal obligation, protection against fraud or loss, or our legitimate interest in operating and improving ReefCam Rental responsibly.

5. Cookies and similar technologies

6. Providers who help us

We use trusted service providers to operate ReefCam Rental. They may process personal information on our behalf or, in some cases, as independent service providers under their own privacy policies.

We share personal information only as needed to provide the requested service, meet legal obligations, protect our rights or respond to a valid request from authorities. We do not sell or rent your personal information to third parties.

Third-party services, including Squarespace, Booqable, WhatsApp, payment providers and cloud-storage providers, may process data in countries outside Bonaire. Those providers are responsible for their own services and privacy practices. You can review their privacy policies through their websites.

7. Footage transfer and your privacy

If you choose the optional Transfer link, we copy the footage from the rental SD card only to create and send your private download link. We do not intentionally view, publish, share or use your footage except as reasonably needed to provide the transfer service, address a technical issue, protect our rights, or comply with law.

The download link remains available for 30 days after we send it. We then delete our transferred copy of the footage from the transfer location, unless we must retain a limited copy for a legal claim, dispute, fraud investigation or technical recovery that you specifically request.

You are responsible for downloading and backing up your footage before the link expires. If you do not purchase a Transfer link or Keep the SD card, the rental SD card is returned to our inventory and may be wiped after pickup for the next renter.

8. How long we keep information

We keep information only for as long as reasonably necessary for the purpose for which it was collected, including legal, tax, accounting, dispute-resolution and fraud-prevention obligations.

• Booking, payment and rental records: kept for the period required by applicable accounting, tax or legal obligations, or as long as needed to resolve a claim or dispute
• Messages and support communications: kept as long as reasonably needed to manage your booking, answer your request or resolve an issue
• Footage-transfer files: deleted after 30 days, unless retention is necessary for a specific legal, dispute or technical reason
• Cookie-consent records: kept for as long as needed to respect and demonstrate your cookie choices

9. Security

We take reasonable technical and organisational steps to protect personal information against accidental loss, misuse, unauthorised access, alteration or disclosure. These measures include using reputable service providers, limiting access to booking information, using password-protected accounts and keeping only the information we reasonably need.

No website, internet transmission or storage system is completely secure. Please use care when communicating with us and do not send unnecessary sensitive information through ordinary email or WhatsApp.

10. Your privacy rights

Depending on applicable law and the circumstances, you may have the right to:

• Ask whether we process your personal information and request access to it
• Ask us to correct inaccurate or incomplete information
• Ask us to delete information where there is no longer a valid reason for us to keep it
• Ask us to restrict certain uses of your information
• Withdraw consent where we rely on consent, including by changing your cookie preferences
• Object to certain processing based on our legitimate interests
• Ask for a copy of information you provided to us, where technically feasible
• Complain to the relevant privacy supervisory authority if you believe your rights have been infringed

11. Children

ReefCam Rental bookings are made by adults aged 18 or older. We do not knowingly collect personal information directly from children for booking purposes. If a minor uses rented equipment, the adult renter remains responsible under the rental agreement.

12. Changes to this policy

We may update this policy when our services, website tools, legal obligations or privacy practices change. The latest version will always be published on this page, with the “Last updated” date at the top. The version in effect when you use our website or make a booking applies to that use or booking.
